Patient Access Coordinator

Job Summary: The Patient Access Coordinator supports patient registration across Emergency, Outpatient, and Inpatient services. This role ensures accurate data collection, insurance verification, and a smooth patient intake experience.

Essential Functions and Responsibilities

  • Provide a welcoming, professional experience while assisting patients and families with registration
  • Accurately collect and enter demographic, insurance, and financial information into the EMR system
  • Verify insurance coverage and benefits; Obtain authorizations/pre-certifications
  • Communicate financial responsibilities clearly and collect payments
  • Obtain required signatures and explain consent, financial, and registration documents
  • Coordinate with physicians and clinical staff to obtain necessary documentation and approvals
  • Document all verification and authorization details accurately
  • Maintain and reconcile cash drawer with accuracy
  • Manage a multi-line phone system and direct calls appropriately
  • Perform account audits to ensure accuracy prior to billing
  • Identify issues that may lead to claim denials or impact patient experience
  • Maintain strict confidentiality in compliance with HIPAA
  • Cross-train and support multiple areas, including Emergency Department, Outpatient, Inpatient Registration, Scheduling, and Switchboard

Required Skills and Qualifications

  • High school diploma or equivalent
  • Strong communication, interpersonal, and organizational skills
  • Ability to work independently and multitask in a fast-paced environment
  • Basic math skills and ability to handle financial transactions
  • Professional demeanor in sensitive or high-pressure situations

Preferred Qualifications

  • Healthcare registration, medical office, or customer service experience
  • Knowledge of medical terminology and insurance (Medicare, Medicaid, and commercial) processes

 Work Environment and Physical Requirements

  • Hospital setting (Emergency Department, Admissions, Front Desk)
  • Frequent interaction with patients and healthcare staff
  • Potential exposure to communicable diseases and medical environments
  • Physical activity including standing, walking, bending, and lifting

PRN Expectations (Important):

  • Must be available for variable shifts, including days, evenings, nights, weekends, and holidays
  • Must be able to report to work on short notice (same-day or next-day as needed)
  • Must maintain consistent responsiveness to scheduling requests
